The three steps: Generate, Review, Lodge & Lock
- Generate. CallNote reads the call transcript and drafts a structured file note in your format - the right sections, the figures, the decisions, the next steps.
- Review. You read the draft on screen, fix anything, and fill any gaps CallNote flags where the transcript did not cover something.
- Lodge & Lock. You finalise the note. It is timestamped and sealed so it cannot be quietly changed later, then filed in your library and pushed to your CRM if you want.
Where the transcript comes from
CallNote never records your calls. It works from a transcript you already have, so you can use it whatever your setup is:
- Paste the transcript straight in.
- Forward it by email.
- Upload a quick voice memo.
- Connect a phone system like Aircall or Dialpad so transcripts flow in and notes generate automatically. See how to connect Aircall.
Notes in your own format
You set your template once - the sections you want, the wording, the required fields - and every call is written up that way. A mortgage broker can run an NCCP loan-suitability note; a financial adviser can run a best-interests file note; anyone else can build the format their business needs. CallNote bends to your house style, not the other way around.
Lodge & Lock: a tamper-evident record
Once you lodge a note it is locked, timestamped and SHA-256 sealed. You can still add to it, but amendments are recorded as dated, append-only entries rather than silent edits to the original. That preserves a contemporaneous, tamper-evident record - which is exactly what an auditor or reviewer wants to see. For what a defensible note needs, see how to write a compliant NCCP file note.
Push it to your CRM
A finished note can be pushed straight to the contact in your CRM, so the record lives where the rest of the client history does. CallNote connects to tools like HubSpot, and the note is logged against the right contact automatically.
Your data, in Australia
CallNote is built in Australia and stores your notes and transcripts in Sydney, encrypted. Your data is never used to train AI models. The transcript is processed by an AI model to write the note, and the call audio is never received or stored.
Common questions
How long does a note take?
About two minutes from transcript to a finished, structured note you have reviewed. The generation itself takes seconds; the rest is you reading it over and lodging it.
Does CallNote record my calls?
No. CallNote never records calls and never sends a meeting bot. It works from a transcript you already have - pasted, emailed, a voice memo, or fed in from a phone system like Aircall or Dialpad.
Can I change the format of the notes?
Yes. You set your own template - the sections, wording and required fields - and every note follows it. Different roles can run different templates, like an NCCP loan-suitability note or a best-interests file note.
Can I edit a note after I lock it?
A locked note is timestamped and sealed. You can add amendments, but they are recorded as dated, append-only entries rather than edits to the original, so the integrity of the record is preserved.
Where is my data stored?
In Australia (Sydney), encrypted, and never used to train AI models. The call audio is never received or stored - CallNote works from the transcript only.
