Terms of Service

01 Who we are

CallNote is operated by CallNote Pty Ltd (ABN to be confirmed), an Australian company. In these terms, “we”, “us” and “CallNote” mean CallNote Pty Ltd, and “you” means the individual or business using the service.

By creating an account or using CallNote, you agree to these terms. If you’re setting up an account for a brokerage, you confirm you’re authorised to accept these terms on its behalf.

02 What CallNote does

CallNote receives the transcript of a client call - from a call platform you connect, a voice memo, or text you paste or upload - and produces a structured first draft of a file note based on a template you choose. It is a drafting and record-keeping tool.

CallNote does not record or store call audio, and does not provide credit, legal or financial advice or make a lodgement decision for you. Every note must be reviewed and approved by a licensed broker before it is lodged.

The final lodged note is your professional record. You remain responsible for its accuracy and for meeting your obligations under the National Consumer Credit Protection Act and your licence or credit representative authorisation.

03 Your account

You’re responsible for keeping your sign-in details secure and for all activity under your account. Tell us promptly if you believe your account has been accessed without authorisation.

You must be at least 18 years old and authorised to carry out the work you use CallNote for, including holding any licence or registration your profession requires.

04 Data residency & ownership

All of your data - transcripts and notes - is hosted in Australia (AWS Sydney, ap-southeast-2). We encrypt it in transit and at rest. CallNote does not store call audio.

Your data belongs to you. We never sell it, and we never use your client data to train AI models. You can export or permanently delete your data at any time. We act as a data processor on your behalf; you remain the data controller for your clients’ information.

05 Your responsibilities

  • Obtain any consent required under the law of your state or territory before recording a call you bring into CallNote.
  • Review every AI-generated note for accuracy and completeness before lodging.
  • Only upload information you’re entitled to handle, and keep your clients’ information confidential.
  • Not use CallNote for anything unlawful, or attempt to disrupt or reverse-engineer the service.

06 Fees & billing

Paid plans are billed in advance, monthly or yearly, through our payment provider (Stripe). Prices are in Australian dollars and include GST where applicable. We’ll give you at least 30 days’ notice before any price change.

New accounts include a free trial with no card required. If you don’t upgrade, your account moves to a read-only state - your data stays safe and exportable.

07 Cancellation

You can cancel any time from Settings · Billing. Your plan stays active until the end of the period you’ve paid for, and we don’t charge cancellation fees. After cancellation you keep read-only access to export your lodged notes.

08 Liability

CallNote is provided “as is”. To the extent permitted by law, and subject to your rights under the Australian Consumer Law, our total liability to you is limited to the fees you paid us in the 12 months before the claim.

Because every note is reviewed and approved by you before lodging, you’re responsible for the content of your lodged notes and any compliance outcome that follows.
