How to connect Aircall to CallNote

This guide shows you how to connect Aircall to CallNote so every call you take turns into a finished file note automatically. It takes about two minutes, there are no API keys to copy, and you only do it once. You connect as a workspace admin, approve access, and from then on CallNote writes the note from each call's transcript.

What you need

  • An Aircall account where you are a workspace admin (the connection has to be approved by an admin).
  • Aircall AI Assist enabled - this is what produces the transcript CallNote works from.
  • A CallNote account. You can start a 14-day free trial at callnote.com.au, no credit card.
Aircall AI Assist is required for transcriptsCallNote works from the call transcript, so the transcript has to exist. On Aircall that means AI Assist must be turned on (Pro is recommended). Without it, the integration still connects, but no transcript arrives, so no note is generated.

Connect Aircall to CallNote, step by step

  1. Log in to CallNote and go to Integrations.
  2. Find Aircall in the list and click Connect.
  3. You are sent to Aircall. Sign in as a workspace admin and approve CallNote's access.
  4. You are redirected straight back to CallNote, now showing Aircall as Connected. CallNote registers the webhook for you automatically - there is nothing else to set up.

That is the whole setup. No API keys, no webhook configuration, no copying values between dashboards.

What happens after you connect

From then on, whenever an Aircall call ends and its transcript is ready, CallNote automatically generates a file note from that transcript. The note lands in your CallNote library ready to review. You read it, make any edits, then lodge it - and push it to your CRM if you want. The write-up that used to take ten to fifteen minutes after the call is done by the time you hang up.

CallNote receives the transcript, never the audio

CallNote does not record your calls and never receives the call audio. It reads the call transcript and basic metadata - the number, the agent, the time - through the Aircall API. The recording itself stays in Aircall. For more on how transcript-only tools differ from recording bots, see do AI note takers record your calls.

Troubleshooting

  • No note appeared after a call. Check the call actually produced a transcript in Aircall. CallNote only generates once the transcript is available, and that needs AI Assist to be on.
  • The Connect button needs an admin. The OAuth connection has to be approved by an Aircall workspace admin. If you are not an admin, ask whoever manages your Aircall workspace to do the connect.
  • You want to disconnect. You can disconnect Aircall at any time from the Integrations page in CallNote, and reconnect the same way.
Once it is connected, you can forget about itThere is no daily setup. Take your calls in Aircall as normal - CallNote quietly turns each one into a note in the background, ready for you to review and lodge.
