Every Aircall call, written up before you hang up

How it works

1. Connect once. Find CallNote in your Aircall Dashboard’s app marketplace, or connect from CallNote’s Integrations page with your Aircall API key. Two minutes, workspace-wide.
2. Take calls like normal. When a call ends, Aircall sends CallNote the transcript. CallNote never joins, records or stores audio - it only ever receives the text Aircall already produced.
3. The note writes itself. Within a couple of minutes the call is a structured file note in your format - your sections, every time. A pop-up lets you review it while the call is still fresh.
4. Review, lodge, done. Fix anything you like, link the client, then lodge. Lodged notes are locked, timestamped and pushed to HubSpot or Clio directly - or anywhere else via Zapier and Make.

CallNote maps each Aircall agent to the right team member, so every broker or adviser gets their own calls as their own notes - one connection covers the whole workspace. Notes stay visible to owners and admins, and each member sees their own work.

What you need on the Aircall side

• An Aircall account with the AI Assist add-on - that’s what produces the call transcript CallNote works from.
• If data residency matters to your practice: on Aircall’s standard AI Assist tier, call audio is stored on Aircall’s US servers. Their AI Assist Pro tier keeps audio in-region. CallNote itself only ever receives the text transcript, and your notes live in Australia.

Why brokers and advisers use it

• The 10 to 15 minutes after every call comes back. The write-up is done before you would have opened the blank document.
• Notes that stand up later. Lodged notes are locked with a full audit trail and append-only amendments - what was written is what stays written.
• Your format, every time. Templates control the sections, so a review call, a refinance call and a quick check-in each come out the way your file expects.
• No new phone system. Other tools make you replace your calling setup. CallNote rides the Aircall account you already have.

Common questions

• Does CallNote record my calls? No. Aircall makes the transcript; CallNote receives that text once the call ends. Audio never touches CallNote.
• What happens to draft notes? They stay private in CallNote until you lodge them. Only lodged notes flow to your CRM or Zapier.
• Which CRMs work? HubSpot and Clio have direct one-click pushes. Mercury, MyCRM, Xplan and most practice systems are reachable through the Zapier and Make integration or the lodged-note email.
• What does it cost? CallNote is a flat monthly subscription with a 2-week free trial - pricing is here. No per-call fees.
