This guide sets out what OpenAI's own help pages say about record mode as at October 2026, including the newer Meetings plugin that OpenAI now points people to, then what an Australian professional needs to weigh up before recording a client. We make CallNote, a tool that turns call transcripts into file notes and never records anything itself. We have kept the description of ChatGPT to what OpenAI publishes. This is general information, not legal advice.
What ChatGPT record mode does
OpenAI's help article "ChatGPT Record" describes it as a way to "transcribe and summarize audio recordings like meetings, brainstorms, or voice notes". The steps, in OpenAI's words, are:
- Click the Record button at the bottom of any chat. The first time, you may need to allow microphone and system audio access.
- ChatGPT transcribes live as you talk, with a timer. You can pause and resume.
- Click stop, then Send. ChatGPT uploads the transcript and summary.
- The notes open as a canvas in the chat, or as notes attached to the recording. You can edit them or ask ChatGPT to rewrite them as an email or a plan.
Because it uses the Mac's microphone and system audio, you can start it by hand during an online meeting in Zoom, Teams or Google Meet, or during an in-person conversation near the laptop. OpenAI's troubleshooting notes also mention Record joining Google Meet calls from a connected Google Calendar; they do not say how that looks to the other people on the call. OpenAI says a session is capped at 4 hours, it can tell speakers apart (using labels such as Speaker 1 when it cannot work out a name), and it "works best in English today". With "Reference record history" turned on, ChatGPT can draw on past recordings in later chats.
| Question | What OpenAI's help pages say |
|---|---|
| Which plans? | Plus, Pro, Business, Enterprise and Edu workspaces |
| Which devices? | Only the ChatGPT desktop app for macOS |
| Price | Included at no extra cost, subject to change |
| Session length | Capped at 4 hours per session |
| Audio | Used only for transcription and deleted afterwards. Not used to train models |
| Transcripts and summaries | Kept like other conversations. Deleted from OpenAI's systems within 30 days after you delete the conversation, unless OpenAI is legally required to keep them |
| Training | Free, Plus and Pro: transcripts and canvases may be used to train models if "Improve the model for everyone" is on, and staff may review them. Business, Enterprise and Edu: excluded by default |
| Admin control | Workspace owners can turn Record on or off. It is off by default for Enterprise and Edu |
Check consent before you record a client
OpenAI puts this on you: "You're responsible for making sure that your use of record mode follows applicable laws." Our free Can I record this call? checker tells you whether your state or territory needs everyone's consent and gives you a line to say before you record. The detail is further down.
Is ChatGPT record mode available in Australia?
ChatGPT itself is supported in Australia; it is on OpenAI's list of supported countries. OpenAI's record mode help page does not list any country limits. It lists plan and device limits only. So an Australian on an eligible plan with the Mac desktop app should see the Record button, unless a workspace owner has turned it off.
ChatGPT record button missing? The common causes
- You are not on a Mac. Record mode is only in the macOS desktop app. It is not in the Windows app, the browser, or the iPhone and Android apps.
- The app is out of date. OpenAI's fix is to update to the latest ChatGPT macOS app.
- Your plan does not include it. You need to be logged into a Plus, Pro, Business, Enterprise or Edu workspace. Free accounts are not listed.
- Your workspace has it off. Owners control it under Settings, Workspace Controls. Enterprise and Edu start with it off.
- Mac permissions. In System Settings, Privacy & Security, allow ChatGPT under both Microphone and Screen & System Audio Recording.
ChatGPT record on Windows
Not yet. OpenAI's record mode page says macOS only. Its newer Meetings plugin page says support for iOS, Android and Windows is "coming soon", with no date.
The newer ChatGPT Meetings plugin
OpenAI's record mode page now points to a Meetings plugin in the ChatGPT desktop app as "a better experience". OpenAI says Meetings is in beta on macOS for Pro and Business plans, is being tested with a limited group of Enterprise customers, and is "separate from the Record feature in the older ChatGPT desktop app". It works for online calls and in-person conversations with no bot. Audio from your microphone and system audio streams to OpenAI and is deleted from your Mac and OpenAI's servers once the notes are ready. It stops at four hours. One line matters for client work: the consent reminder "is visible to you. It does not notify other participants or obtain their consent for you."

Pick your line of work and we'll send a sample note written from a mocked call. No account, no card, and nothing from your own client files.
One sample note, plus the occasional CallNote update. Unsubscribe any time by replying. We never ask for your call recordings or client files.
The form above sends a sample file note made from a fictional call, so you can compare it with what a general meeting summary gives you.
Can you use ChatGPT to record client meetings? Four things to check
Nothing in OpenAI's pages stops a professional using record mode. The questions are about your obligations to the client, and they are the same for any AI note taker. Our guide are AI note takers safe? goes through Otter, Fathom and Fireflies the same way.
1. Consent to record
Record mode captures a private conversation with a device, so the state surveillance and listening devices Acts apply. In New South Wales, Western Australia, South Australia, Tasmania and the ACT you generally need everyone's consent. In Victoria, Queensland and the Northern Territory a party to the conversation may record it, but sharing the recording is restricted. On an online meeting your client may be in another state, so work to the all-party standard. Our state-by-state guide, is it legal to record a phone call in Australia, has the Acts and sections. Ask, get a clear yes, and note it.
2. Confidentiality and privilege
Solicitors must not disclose confidential client information except in limited cases (Australian Solicitors' Conduct Rules r 9). Sending a client conversation to a general AI service is not automatically a breach, but you need to be able to say where it went, who can see it and whether it can be used for anything else. On a Plus or Pro account with model improvement switched on, OpenAI says transcripts and canvases may be used for training and reviewed by its team. That is hard to square with a client's confidential instructions. Our piece on AI note takers and legal professional privilege covers the privilege question in more depth.
3. Privacy Act and overseas disclosure (APP 8)
If the Privacy Act 1988 applies to your firm, a client conversation is personal information, and often sensitive information. Australian Privacy Principle 8.1 says that before you disclose personal information to an overseas recipient, you must take reasonable steps to make sure the recipient does not breach the APPs. Under s 16C you can be held accountable for what the overseas recipient does with it.
The OAIC's APP guidelines (paragraphs 8.14 and 8.15) say giving information to an overseas cloud provider can be a "use" instead of a "disclosure", which takes APP 8 out of play, but only where a binding contract limits the provider to storing the data and giving you access, its subcontractors are bound the same way, and you keep effective control. A consumer ChatGPT account where your content may train models is unlikely to meet that test. A business workspace with training off by default and contractual terms is a stronger position, but read the terms.
4. Where the audio and transcript end up
- The audio is sent to OpenAI for transcription and deleted afterwards, OpenAI says.
- The transcript and summary sit in your ChatGPT chat history, in your personal or workspace account, not on the client file. They stay until someone deletes the conversation.
- Data residency. OpenAI offers storage at rest in Australia to eligible new ChatGPT Enterprise and Edu customers. It also says features that are not generally available, meaning anything still in beta, are not eligible. For ChatGPT Business, OpenAI says data residency is rolling out gradually and, if you pick a region outside the United States, a copy of every prompt and response is still stored in the United States for a limited time for safety monitoring. Its help pages describe no residency choice for Plus or Pro.
For a mortgage broker, our ChatGPT for mortgage brokers guide lists what is safe to put into ChatGPT and what to keep out. Many firms settle this in writing; our law firm AI policy template is a starting point.
Your options for client meeting notes, side by side
| Option | What it does | Price as published | Best for |
|---|---|---|---|
| ChatGPT record mode | Records Mac microphone and system audio, then gives a transcript and summary in your chats. macOS only | Included at no extra cost on Plus, Pro, Business, Enterprise and Edu | Internal meetings, brainstorms and your own voice notes |
| ChatGPT Meetings plugin (beta) | Takes notes from online or in-person meetings on a Mac, with summaries and suggested actions | No separate price stated. In beta on Pro and Business plans | Teams already on ChatGPT Business who want meeting notes in the same place |
| Your phone or meeting system's own transcription | Teams, Aircall, Dialpad or Zoom transcribe calls made through them, under your firm's existing account | Depends on your plan with that provider | Firms whose client calls and meetings already run through one system |
| CallNote | Takes a transcript that already exists and drafts a file note in your firm's format, then seals and locks it. Never records | Solo A$149 a month, Team A$99 per seat a month, 14-day free trial | Lawyers, brokers and advisers who need a file note on the client record |
A better pattern for client files
For client work, the safer setup has two parts. First, get the transcript from a system your firm already controls and has already assessed for privacy: your business phone system or your Microsoft 365 tenant, with the client's consent on the call. Second, turn that transcript into a file note in a tool that keeps a proper client record, where the final note cannot be changed without a trace.
That is the job CallNote does. It receives transcripts automatically from Microsoft Teams, Aircall and Dialpad, and you can paste or upload one from Zoom or Google Meet. It drafts the note in your firm's own format, which it builds from one of your past notes. You review it, then publish: the note is sealed with a SHA-256 checksum and locked, amendments are added on and never overwrite, and every step is in an audit log. It can go to Clio, HubSpot or Microsoft Dynamics 365 if one is connected, or out as a PDF. See real examples of notes it produces.
On data, notes are stored in Sydney and we do not train AI models on your data. Some processing, including the AI model that drafts the note, is done by providers overseas, and our security page lists them. CallNote does not solve consent for you: whatever system transcribes the call still needs the client's agreement.
Where ChatGPT is the better pick: if you mainly want notes from internal meetings, already pay for ChatGPT, and do not need a locked record on a client file, record mode or Meetings costs you nothing extra and does the job well. Firms that use it for client work should do so on a business workspace with training off, after checking the points above. More detail is on our pages for law firms and mortgage brokers.
Common questions
What is ChatGPT record mode?
It is a feature in the ChatGPT desktop app for Mac that records your microphone and system audio, transcribes it live, and saves a transcript and summary in your chat history. OpenAI says it is for meetings, brainstorms and voice notes, and is available on Plus, Pro, Business, Enterprise and Edu workspaces at no extra cost.
Why is my ChatGPT record button missing?
OpenAI says to update to the latest ChatGPT macOS app and check you are logged into a Plus, Pro, Business, Enterprise or Edu workspace. Record mode is not in the Windows app, the browser or the phone apps. On Enterprise and Edu it is off until a workspace owner turns it on.
Can ChatGPT record meetings on Windows?
Not as at October 2026. OpenAI's record mode page says it is only in the macOS desktop app. Its newer Meetings plugin page says Windows, iOS and Android support is coming soon, without a date.
Does ChatGPT keep the recording of my meeting?
OpenAI says audio from record mode is used only for transcription and deleted afterwards, and is not used to train its models. The transcript and summary are kept in your chat history until you delete the conversation, then removed from OpenAI's systems within 30 days unless it is legally required to keep them.
Can a lawyer use ChatGPT to record a client meeting in Australia?
Nothing in OpenAI's help pages stops it, but the lawyer carries the obligations. That means consent under the state recording law, confidentiality under the Australian Solicitors' Conduct Rules r 9, and the Privacy Act's rules on sending personal information overseas. A consumer account where content may train models is hard to defend for client instructions. A business workspace with training off is a stronger starting point.
Is ChatGPT record mode data stored in Australia?
OpenAI offers storage at rest in Australia to eligible new ChatGPT Enterprise and Edu customers, but says beta features are not covered. ChatGPT Business residency is rolling out, with a copy of prompts and responses kept in the United States for a limited time for safety monitoring. OpenAI's help pages describe no residency choice for Plus or Pro accounts.
